CLINICAL TRIAL OUTSOURCING

Clinical trial site services, ready when you need them.

Request, launch and track essential site operations, from coordinator allocation and personnel authorization to site payments and equipment procurement, through one transparent platform.

From request to active service, faster

Four steps, and you can see exactly where a request is standing at every one of them.

  1. 1

    Step 1

    Select a Service

Choose the operational support your study or your sites need.

You do not have to move everything at once. Starting with one service on a few sites is normal, and widening it later does not mean starting over.

  2. 2

    Step 2

    Define Your Needs

Set out locations, timelines, responsibilities and reporting requirements.

Scope, responsibilities, timeline and reporting are confirmed with you in writing before anything goes live. Sending a request commits you to nothing.

  3. 3

    Step 3

    Launch the Service

Contrac.tr arranges the people, the paperwork and the operational setup.

Within 24 hours when the provider is already under agreement with us, within 7 calendar days when a new agreement has to be set up first.

  4. 4

    Step 4

    Track Every Step

Follow progress, approvals, payments and reports from your workspace.

Your team signs in with the corporate accounts they already have, and each person sees only the studies they are assigned to.

WHAT WE COMMIT TO

  • 24 hours

When the provider you need is already under agreement with us

Action is taken on your request within 24 hours.

  • 7 calendar days

When a new provider agreement has to be set up first

The actions that fall to us are completed within seven calendar days.

  • One contact

    For your whole organization

A dedicated point of contact, not a different person per service.

Commitments, not estimates
  • One standard across every site

Sites in different cities, staffed by different teams, drift apart on their own. We run yours to a single operational standard and report them the same way, so a site is not easier or harder to work with depending on where it is.

  • Authorization tracked, not assumed

Every person on your study carries a status: assigned, submitted, approved, expiring. That status is visible per site and per person, and you are warned before a CV, a qualification or an approval runs out rather than after.

  • Payments reconciled before they go out

Site payments are checked against the contract and the budget first, then documented so the trail is there when someone asks for it, whether that someone is your finance team or an inspector.

Built for the realities of clinical operations

Faster Service Activation

The gap between an operational need and an active service is where studies lose weeks. We put a number on it instead of an adjective: 24 hours when the provider is already under agreement with us, 7 calendar days when a new agreement has to be set up first. You are told which case you are in before you commit to anything.

Request ReceivedService Active

One Operational Workspace

Coordinator assignments, authorization status, site payments and equipment requests live in one place, instead of a mail thread per site and a spreadsheet per topic that only one person knows how to read.

Transparent Process Tracking

Every request carries its status, its owner and its history. You can see what is waiting on us and what is waiting on you without asking anyone, which is usually the faster way to find out.

Processes Built Around You

Reporting is shaped to your study and your internal processes. You should not have to reformat what we send you before it is usable in your own systems.

Services are only the beginning. Visibility completes the operation.

Contrac.tr gives your teams a structured view of ongoing services, assigned personnel, authorizations, payments, equipment requests and study-specific reports.

In your workspace

  • Study and site filters
  • Service status tracking
  • Location-based coordinator assignments
  • Personnel authorization progress
  • Payment schedules
  • Equipment request and delivery status
  • Pending actions
  • Operational timelines
  • Study-specific reporting
  • End-to-end self service, without email

Works on a phone, not only at a desk

Approvals, authorization status, payment schedules and pending actions are all usable from mobile. Monitors on site and managers between meetings do not have to wait until they are back at a laptop.

Signs in with the account your team already has

Contrac.tr supports single sign-on through Microsoft Entra ID (Azure AD), so your teams reach the workspace with their corporate account while your IT keeps control over who is allowed in.

  • No separate password for anyone to manage, share or forget
  • Your IT grants and revokes access centrally, so workspace access ends the day someone leaves
  • Your own multi-factor and conditional access policies apply unchanged
  • New users are onboarded without a separate IT request
  • Actions are recorded against corporate identities, so the audit trail matches your own systems

RESPONSE COMMITMENT

Commitments, not estimates

How fast a service starts depends on one thing: whether we already have an agreement in place with the provider that will deliver it. We tell you which case you are in, and we put a number on both.

24 hours

When the provider you need is already under agreement with us

Most requests fall here. The provider that will deliver the service is already contracted with us, so there is nothing to negotiate before work can start. Action is taken on your request within 24 hours.

7 calendar days

When a new provider agreement has to be set up first

Sometimes the service has to come from a provider we do not yet have an agreement with, in a city or a specialty our network has not covered before. In that case we set that agreement up ourselves, and the actions that fall to us are completed within seven calendar days.

One person who knows your account

Your organization is assigned a dedicated point of contact. Not one per service and not one per study: however many services you use and however many studies you run, the same person owns your relationship and knows the history without being briefed again.

Managed entirely in your workspace

Every request, approval, authorization, payment and report is handled in your online workspace. No email threads to chase, no calls to schedule, no waiting for someone to forward a spreadsheet.

QUESTIONS

What sponsors ask before they start

The questions that come up in the first conversation, answered here rather than after a meeting is booked.

Your question is not here

Send it with your request and it gets answered before anything is scoped. There is no obligation attached to asking.

Ask a question
  • Do we have to move all of our sites to you?

No. Most sponsors start with one service on a few sites and widen it once they can see how it runs. Services are requested individually, and adding a site or a second service later does not restart anything.

  • We already work with a CRO. Does this replace them?

No. Contrac.tr works at the site operations level: who is assigned to a site, whether they are authorized, whether the site gets paid, what equipment is there. Your CRO keeps doing what it does, and in practice this removes the site-level work that tends to land on your project managers regardless of who the CRO is.

  • How quickly does a service actually start?

Within 24 hours if the provider that will deliver it is already under agreement with us, which covers most requests. If the service has to come from a provider we do not yet have an agreement with, in a city or a specialty our network has not covered before, we set that agreement up ourselves and the actions that fall to us are completed within 7 calendar days. You are told which of the two cases applies to your request.

  • Who do we deal with day to day?

One contact for your whole organization. Not one per service and not one per study: however many services you use and however many studies you run, the same person owns the relationship and knows the history without being briefed again.

  • Do you pay the sites, or do we?

Either. In the first model Contrac.tr makes the site payments directly and invoices you for them, so your finance team deals with one counterparty instead of a separate arrangement with every site. In the second the payments stay with you and we take over the operational side: reconciliation against contract and budget, documentation and follow-up. You choose the model, and it can differ per study.

  • What happens to personnel authorization records?

They are kept in one central register covering every site, with each person's authorization status visible against each site. Delegation logs, CVs and qualification documents are kept current, changes are prepared and followed up with ethics committees and TITCK, and you are warned before a document expires rather than when someone notices it already has.

  • Can our team sign in with our corporate accounts?

Yes. The workspace supports single sign-on through Microsoft Entra ID, so nobody manages a separate password and your IT grants and revokes access centrally. Your own multi-factor and conditional access policies apply unchanged, and access ends the day someone leaves your organization.

  • Is the workspace usable from a phone?

Yes. Approvals, authorization status, payment schedules and pending actions all work from mobile, which matters for monitors who are on site and managers who are between meetings.

  • What does a request commit us to?

Nothing. A request opens a conversation. Scope, responsibilities, timeline and reporting are confirmed with you before a service goes live, and nothing starts until that confirmation exists.
